How to migrate your Sakai project site resources to a Box folder
Sakai project sites are Sakai sites that, unlike course sites, are independently created and maintained by a Sakai user. Sakai project sites are typically used for collaboration among academic groups or committees. While Sakai will remain operational for the 2024-25 academic year, ITS recommends that Sakai project site owners start looking at alternative platforms.
Box provides easy-to-use unlimited cloud storage for Pomona College faculty, staff and students. With Box, you can securely create or upload any file type from any device, share them using a direct link, invite others to collaborate, and revise and review your files from anywhere.
If you are a Sakai project site owner, you may be interested in migrating your content to Box. In this guide, we’ll walk through the process of how to move your Sakai Resources to a Box folder and set up your preferred collaboration settings in your new Box folder.
Step 1. Create a zip file archive in Sakai and download it to your computer.
Follow these instructions for downloading your resources from Sakai:
After you’ve downloaded your zip file archive to your computer, extract your files from the zip archive.
Step 2. Log in to Box and create your folder.
If this is your first time logging in to Box, please follow the instructions here to activate your account:
Once your account has been activated, go to box.pomona.edu and log in with your Pomona credentials.
At the top right, click on the New + button, then select Folder.
Give your folder a name and click Create.
Step 3. Upload your files to your Box folder.
The next step is to upload the files you’ve recently saved from Sakai to your new folder in Box.
Follow these instructions to upload your files to your new folder:
You have the option to upload multiple files and/or folders at once. This means you can bulk upload items that you downloaded from Sakai and preserve your folder structure.
Note: Be sure to extract your files from your zip file archive before uploading them to Box. If you upload the zip file archive itself, you won’t be able to open those files within Box.
Step 4. Add collaborators to your Box folder or create a shared link.
The next step is to share your folder. You have two options for sharing: (1) you can invite users to the folder as collaborators, or (2) you can create a shared link. Both options include various permission settings.
Option 1. Add collaborators to your folder
Since all Pomona College faculty, staff, and students have Box accounts, you can add anyone to a folder as a collaborator. You can also add external users if they have a Box account. Please see the articles below to learn how to invite users as collaborators, and how to decide on their permission level:
Option 2. Create a shared link for your folder
The second option for sharing your folder is creating a shared link. This allows users to access your folder without being added to it as a collaborator. Please see the following article to learn how to create a shared link. Note that you can apply different permission levels to your shared link:
